Stallholders Information

General Site & Stallholder Policies

  1. No guarantee of viewing to stage activities or performances.

  2. Site map is indicative; infrastructure may change.

  3. Stallholders Managers can modify site allocation, pricing, and terms without notice.

  4. ‘No-roaming’ policy: all marketing and selling must stay within the stall site.

  5. Giveaways must be approved by Stallholders Manager/s.

  6. Stallholders must provide their own tables, chairs, and other equipment.

  7. Festival organisers are not responsible for equipment hire or contractor damages.

Compliance & Safety Requirements

  1. Inform Stallholders Managers if using external equipment suppliers.

  2. Electrical appliances must be test tagged; food trucks require a current Electrical WOF.

  3. Hand sanitizer must be available for customers.

  4. EFTPOS or bank transfer encouraged for transactions.

  5. Food stallholders must meet Council hygiene regulations; inspections may occur.

  6. No alcohol, tobacco, glass products, toy/replica weapons allowed.

  7. Stall sites cannot be resold to others.

Prohibited Items & Brand Restrictions

  1. No hawkers, street sellers, or buskers permitted.

  2. Food stallholders selling drinks must ensure they are low/no sugar—no energy or sugary drinks allowed.

  3. No gang insignia to be worn or sold (bandanas, embroidery, tattoos).

  4. Unauthorised drinks and products will be removed by organisers.

  5. No competing sponsor brands may be sold or displayed at stalls.

Stallholder Agreement & Responsibilities

  1. Stallholders must abide by all Terms and Conditions.

  2. SPACPAC Canterbury Polyfest may take and use photos/film of stallholders for promotional purposes, free of charge, with no time limit.

  3. Stallholders acknowledge that the festival is not responsible for losses due to natural disasters or unforeseen circumstances.

  4. Organisers are not liable for losses due to festival postponement or cancellation if safety is a concern.

Financial & Compliance Considerations

  1. SPACPAC Canterbury Polyfest is not responsible for any stallholder’s lost revenue or income shortfalls.

  2. Non-compliance with Terms and Conditions may result in disqualification from the 2026 festival and future events.

  3. Stallholders must review and adhere to all agreement guidelines to ensure continued participation.

  • SPACPAC Canterbury Polyfest has grown so much that we can’t fit all the schools into one day! This means more performances, more visitors, and more opportunities for stallholders to connect with the community.

  • You now have the chance to be part of two days of celebration instead of one. This means more exposure, more sales opportunities, and more time to share your products, services and culture.

  • With the event expanding to two days, there are increased costs for logistics, security, and facilities. The new stallholder fee reflects the extended timeframe and the added value of two days of engagement.

  • We strongly encourage stallholders to be present for both days to make the most of the increased foot traffic and community engagement. Friday evening will be a great opportunity to connect with families after work, and Saturday will be a full day showcase.

  • You can choose to attend one day, but the stallholder fee remains the same. This is because the cost covers your space and infrastructure for the entire event.

    • More exposure: Two days means more time for people to visit your stall.

    • More sales opportunities: Families attending on different days means a wider reach.

    • Stronger community connection: You’ll be part of an even bigger celebration of culture.
